Part-Time Business Support Assistant (Front Desk Reception)

The City of Littleton is seeking two customer-focused, organized, and adaptable individuals to join our team as part-time Business Support Assistants. Serving as the first point of contact for visitors, residents, vendors, and employees, these positions play a vital role in creating a welcoming and professional experience at the Littleton Center. Business Support Assistants provide front-desk reception services, assist customers in person and over the phone, and support a variety of administrative functions that help city operations run smoothly.

Two part-time positions available. Both part-time positions will work 20-25 hours per week to cover front desk reception for the city between the hours of 8 am and 5 pm, Monday through Friday. Exact schedule to be determined based on city needs and the availability of front desk staff. These regular part-time positions are benefits eligible.

These part-time positions will work 20-25 hours per week and are eligible for benefits, which includes medical, dental, vision, and paid time off, at 20-hour part-time tier rates.

Hiring pay range $20.50 - $22.00 per hour

This part-time position is non-exempt per FLSA and is eligible for overtime compensation.

Work Schedule: These part-time positions will work a minimum of 20 hours per week, in-person, Monday through Friday covering the city’s reception desk between the hours of 8 am to 5 pm. Exact schedule to be determined based on city needs and the availability of front desk staff.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Welcomes visitors and answers incoming calls, providing information, assistance, and direction in a courteous and professional manner.
  • Monitors access to the Littleton Center by tracking visitors, issuing employee, contractor, and visitor badges, notifying staff of arrivals, and directing guests to the appropriate department; performs weekly badge reconciliation.
  • Manages shipping, receiving, and mailroom operations to ensure timely and accurate sorting and distribution of mail and packages.
  • Assists with badge photo creation for new hires.
  • Serves as a member of the Human Resources team, with opportunities to engage in citywide trainings, events, and professional development activities.
  • May assist with organizing and planning meetings and events.
  • May assist with administrative tasks and projects as needed.

MINIMUM QUALIFICATIONS:

  • High school diploma or equivalent; and 
  • One (1) year of work experience in a customer service and administrative support related position; or  
  • An equivalent combination of education, training and work experience that produces the knowledge, skill, and ability to perform the essential duties and responsibilities of the position may be considered. 
  • Must be able to pass a pre-employment criminal background check. 

KNOWLEDGE, SKILLS, ABILITIES:

  • Outstanding interpersonal skills and ability to build and maintain effective working relationships with customers and staff at all levels. 
  • Strong communication skills, both written and oral, including the ability answer high volume phones and remain calm under pressure. 
  • Adaptability and ability to manage multiple priorities and deadlines. 
  • Ability to maintain confidentiality, and exercise political savvy and discretion. 
  • Ability to work independently, set objectives and determine how to proceed. 
  • Strong attention to detail and accuracy. 
  • Strong computer skills including Microsoft Office applications and the ability to learn and utilize other applications as needed. 
  • Ability to operate routine and non-routine office-related equipment. 
  • Advanced skills in organization, priority setting and administrative coordination. 

WORKING ENVIRONMENT & PHYSICAL ACTIVITIES: 

  • The essential duties for the position are performed indoors in a standard indoor office/reception area environment. 
  • Physical activities include the ability to lift, carry, push or pull objects weighing up to 25 pounds with or without assistance.
